Volunteer Job Descriptions

- Announcer (Home meet only)

The announcer uses the microphone to announce the events and heats, tells swimmers to report for their races, reads the Good-Luck-O-Grams, periodically provides team scores and other announcements as needed. If you are fun and like to entertain, this is the job for you!!! A Meet Script is provided to follow as well as training if needed. 

- Bullpen (Home and Away)

The bullpen is the holding area for young swimmers 6 events prior to the event they are swimming. The announcer will announce for swimmers to report to the bullpen. Bullpen workers use 'heat-sheets' to round up swimmers for their assigned races and heats and send the swimmers to their lane. This is a great job for those who know the names of most of the younger kids.

- Clean Up (Home Meets Only)

After the meet, ensure that all of the pool furniture is put back in its original positions. All meet specific items are put away and all trash is placed in the trash bins and brought to the curb. This is a physically demanding job.

- Concessions (Home meets only)

Prepare and sell food and drink items during the swim meet. This includes dealing with cashbox and Venmo sales. The first shift assists with set up. Second shift assists with cleanup.

- Grill Master (Home meets only)

The grill master works at concessions and is responsible for cooking the food on the grill, changing the gas tank when necessary. First half please arrive by 5PM to start the preparing the food. The second shift assists with cleaning the grill and helping concessions clean up.

- Place Judge (Home and Away)

Each team provides two place judges per shift. One judge from each team will be stationed at the finish end of the pool. Each team must provide a caller and a writer. If the away team is the caller on one side, the home team must be the caller on the other side of the pool. The caller sits closest to the wall and will call the order of finish to the writer. The writer records the finish order on the provided form. The forms are collected by the runner who will turn them into the data entry table. This is a great job to be in the action. Note, you may get splashed!

- Ribbons

During Fun Swim, place labels on ribbons, sort and file the ribbons into the swimmer file folder.

- Runner (Home and Away)

Coordinate with the opposing team’s runner to collect time slips from the timers, place card forms from the place judges and DQ slips (if applicable) from the referee. All forms are taken to the data entry table.

- Scorekeeper/Data Entry (Home and Away; Training required)

You will enter the place and times into the computer software (SwimTopia) during the meet. Works alongside the other team’s scorekeeper. Pro: Always knows which team is winning Con: Always asked which team is winning.

- Set-up (Home Meet Only)

You will arrive by 4:00 PM to assist the coaches with setting up the pool deck for the swim meet. You will be moving lounge chairs and tables, putting up the flags, decorations, as well as any other help that may be needed to get ready for the meet. This is a physically demanding job.

- Starter (Home Meet only, Requires training)

At the referee’s signal, the starter calls the swimmers to the block and to “take their mark.” They then start the race by pushing the sound button on the bullhorn. The starter also keeps the event board current by updating the event number and heat number.

- Timer (Home and Away)

Timers work in assigned lanes. They push the start button on the stopwatch at the sound of the bullhorn and push the stop button when any part of the swimmer’s body touches the wall at the end of the pool. Timers then record the swimmer’s time on time slips, which will be picked up by the runner. Timers will move and work both deep and shallow ending events. This job requires you to pay attention and you may get splashed. It’s a great way to be where the action is!

- Volunteer Assistant (Home Meet Only)

Aid the volunteer coordinators with multiple duties: Distribute water to volunteers and coaches, checking bathrooms for cleanliness and restocking when needed, emptying trash cans as needed, restocking timers and place judges with supplies. Possible other jobs asked of you during the meet.
